Specify the actual room

Audio requirements depend on room dimensions, seating positions, background noise and reflective surfaces. Record where participants will sit and where the device can be placed without blocking papers or shared equipment. A product trial should use the intended meeting platform and host device.

Make control states visible

Teams need to know which device is handling audio and whether microphones are muted. Agree the indicators and the expected behaviour when connecting, disconnecting or joining a call. Avoid assuming that a physical mute control and an application mute button always represent the same state.

Plan a repeatable setup

Document the approved cable, the selected host audio device and the routine for starting a meeting. Keep updates, cleaning and replacement arrangements within the support plan.
